Boutique eDiscovery Provider: Why Lower Overhead Means Lower Rates

Washington DC, Maryland, Virginia & Nationwide

Pro-Legal Services, Inc. is a family-run boutique eDiscovery provider and litigation support company serving law firms, corporate legal departments, and government agencies since 1999. Clients who move to us typically reduce eDiscovery costs by 20 to 30 percent, measured against their prior vendor invoices. That is not a discount or an introductory rate. It is the arithmetic of a different cost structure, and it is worth understanding before you sign with anyone. We give you the full rate card and the agreement terms up front, including what it costs to leave.

What You Are Actually Paying For

An eDiscovery rate card is not priced off the cost of the work. It is priced to cover everything the vendor carries: sales teams and their commissions, layers of account management, marketing budgets, and corporate overhead. Those costs are real, and they have to be recovered somewhere. They reach you as a per-gigabyte number that looks like a technical charge but is substantially an organizational one. When a quote arrives with a dedicated account executive, a solutions consultant, and a quarterly business review attached, you are paying for all three whether or not you wanted them. The quiet tell is the minimum monthly commitment. A vendor who needs a floor under the engagement has a cost base that does not flex, and that floor gets paid whether your matter uses it or not.

What a Boutique Structure Changes

Pro-Legal does not carry a sales organization or layers of account management, so there is nothing to fund through the rate. We charge what the service is worth. In practice that means transparent rate cards provided up front, no per-gigabyte markup, usage-based pricing where you pay for what you actually use, and a single point of contact who is involved in the work rather than relaying messages about it. Aggressive culling before processing does the rest, because the least expensive data is the data never processed in the first place.

Boutique Does Not Mean Limited

Smaller structure is not smaller capability. We have processed datasets measured in terabytes, completed federal digitization engagements exceeding 800,000 pages ahead of schedule, and we support forensic data collection, ESI processing, managed document review, technology assisted review, AI document review, and defensible production on Relativity, RelativityOne, and Questa, our proprietary in-house platform. We operate 24/7/365 for expedited matters, subpoena response, and second requests. What you give up is the account management layer, not the capacity.

Questions That Reveal a Vendor’s Cost Structure

Ask any vendor for the complete rate card, including project management hours, per-seat user licenses, and minimum monthly commitments. Ask whether hosting is billed on raw collected volume or post-culling reviewable volume. Ask what it costs to archive inactive data and to restore it. Ask what the export or egress fee is if you move the matter elsewhere. The answers tell you more about what you will actually pay than any headline per-gigabyte figure. One more piece of advice that costs us nothing to give: the software comparison sites that rank eDiscovery vendors are advertising directories, and placement on them is generally bought rather than earned. Ask the vendor directly.

The same structure applies across everything we do. Pro-Legal provides legal document scanning, litigation copying and document coding for paper records, certified legal translation in more than 100 languages for multilingual matters, and apostille and embassy legalization for documents headed abroad, all through one point of contact rather than four vendors and four account managers.

Pro-Legal works from Arlington, Virginia, in the Rosslyn district minutes from Washington, D.C., supporting litigation teams throughout the District of Columbia, Maryland, and Virginia, including Alexandria, Fairfax, Tysons, Northern Virginia, Richmond, Bethesda, Rockville, Silver Spring, Baltimore, and Annapolis. Boutique structure does not limit reach: we support matters nationwide, including New York, Chicago, Dallas, Houston, Los Angeles, Miami, Atlanta, Boston, Philadelphia, San Francisco, Seattle, Austin, Charlotte, Wilmington, and Newark, and across all U.S. jurisdictions.
